To add a reservation in the Maintenance Center, select "Add Reservation" from the blue horizontal menu bar or from the tab drop-down menu.

  1. Amenity: Begin typing to see a list of all available amenities and select from the dropdown.

  2. Reservation Name: Enter the name of the Reservation in the field provided.

  3. Number of Attendees: Enter the number of attendees for the event. If a Maximum Capacity has been set up in the Amenity settings, the number of attendees must be less than or equal to the set capacity.

  4. Attendee List: Attendee names can be entered here, if desired.

  5. Email Reminder: Email addresses added here will receive a reminder email 7 days prior, the day before, and the morning of the event. Separate multiple email addresses with a comma.

  6. Status: Because this reservation is being entered in the Maintenance Center, the status can be updated here when adding the reservation, eliminating the need to update the reservation after it has been submitted.

  7. Contact Information: When typing in a Contact Name, a dropdown list will appear. Select the Contact from the list. Select the name from the list and the User's contact info will automatically pre-fill. Please Note: The Contacts shown are pulled directly from the Contact Management application. Only Users with Reservation Application permissions will be shown in the list. If you do not see the Contact that you are looking for, navigate to the Contact Management application and search for the User. Go to the User Details Page and select, "User Can Post Reservation Requests."

  8. Reservation Main Contact: If the Reservation Main Contact is the same as above, check the box. If the Reservation Main Contact is not the same as the person who requested the Reservation, enter the additional contact info here.

  9. Calendar: Select the Month and Year to see all of the Reservations, Room Closings, etc. for that date. Hovering over a reservation will provide reservation details.

  10. Add Date(s): Click on a date from the Calendar or click "Add Date". If the amenity is unavailable for the date and/or time selected, an error message will appear indicating the reason why the Amenity is not available.

  11. Admin Override - When entering a reservation through the Maintenance Center, users have the ability to override Amenity Settings. For more information about the Override feature, view the Help Document entitled Reservations Admin Override. Be sure to read the override message carefully. The system will not prevent reservation conflicts if the override is used.

  12. Vendor Details - After one or more dates are selected above, check the box next to any dates that require a vendor.

  13. Vendor Contact: Enter the vendor information in the fields provided..

  14. Vendor Information: The time frame that the vendor will be in the building is required. Enter the times and any additional notes in the box provided. This could include special requests, Caterer COI information, etc.

  15. Reservation Options & Setup Options: The Options listed here are specific to this Amenity. Options can be managed in the Amenity Details. A full list of all Reservation and Setup Options can be found in the Preferences section.

  16. Special Requests: Any special requests associated with the reservation can be added here and will be included in the Reservation Details.

  17. Attachments: Multiple attachments can be added to the Reservation, as long as each attachment does not exceed 5MB. To add additional attachments, click "Add Attachment". The attachment can be named here, if desired.

  18. Notify Admin Contacts and Additional Contacts: If selected, this option will send an email with reservation details to all Admin Contacts and Additional Contacts listed in the Preferences section of the application.

  19. Create Billable Item After Submit: Maintenance Center users may add billable items to any reservation. Check the box here and a page will open where Billable Items can be added after the reservation has been submitted.   20. When finished adding Reservation Details, click Submit.
