Communications Help: Adding a Text, Banner or Calendar Event

From the home page of the Maintenance Center, choose New from the tab dropdown menu to create a new Communication.


Adding a New Communication

  1. Select Text, Post Banner, and/or Calendar Event from the Communication Types box on the left.

  2. Click within the To field to choose Recipients. This will open a pop up box which will allow you to choose the Building/s and Recipients for your communication.

  3. To send the communication to all buildings, leave the All button checked. To target a subset of your buildings, choose the Building/s from the list, then click on Floors, Companies, Groups and/or Tenants to select Recipients.

  4. When Send Text is selected, additional phone numbers can be added. Select Additional Text below the building and add one or more phone numbers in the field provided. Separate each number with a comma.

  5. Once all Recipients have been checked, click Select to save the list. If at any time you want to reset your recipient list, click Reset Selections on the bottom right corner of the recipient pop up box.

Entering the Title and Message

  1. Enter the Title in the field provided, then enter the message in the box. Please note: Consider the type/s of Communication/s being sent when setting up the message. In this example, the message includes a text, portal banner, and a calendar event so its best to keep the message concise.

  2. After entering the message, this communication can be marked High Priority, if necessary. Please Note: Portal Banners marked as High Priority will display as a red warning message. Email and text messages marked as High Priority will still reach users who have opted out of normal priority messages.

  3. Click Choose File to attach one or more files to the communication, if desired. After selecting the file from your computer, a file name can be added in text box provided.

Options Section

  1. Click on the gray bar to expand the Options section. Choose a Category for your communication, if desired.

  2. Check the box to receive a receipt email, which will include a copy of the message and a list of all Recipients.

  3. Enter any Admin Notes in the box provided, if desired. Admin Notes added here will not be seen by Recipients.

Time Zones

  1. Communications can be sent based on the time zone of the user or the time zone of each of the selected buildings. The default time zone can be set in the Account Preferences which can be accessed by choosing Preferences from the dropdown menu in the upper right hand corner of the page.

  2. If the time zone set in the User Preferences, or if any of the buildings selected are in different time zones, two new fields will display allowing the User to send out the communication based on the Users default time zone or by the building specific time zone.

Schedule Banner, Text, Calendar Event

  1. To set the schedule for the communication, select One Time or Recurring. If One Time is selected, enter a date and time you would like the text message to be sent, in the box provided.

  2. To schedule the Banner, choose a start and end time for the duration that the Banner will be live on the Portal.

  3. To add an Event to the Building Calendar, enter the date or date range for the event.

  4. For Recurring Events, select the start date, end date, and the schedule; based on the frequency the event should recur.

  5. To send the Text or post the Banner prior to the schedule selected above, choose a time from the dropdown menu.

Additional Options

  1. Once the communication has been scheduled, click the green Preview button to view the Text, Banner and Calendar Event.

  2. If the communication is for more than one building, use the dropdown at the top of the Preview to view the communication for each property. When finished, click Schedule.

Communication Details Page

  1. After sending or scheduling the communication, the Communication Details page will open.

  2. Click Preview to view the communication. The Preview will include a link to view the Banner on the Portal, a link to the Building Calendar, as well as a link to add the Event to your personal calendar.

  3. Click View Event to see the event on the Communications Calendar.

  4. Click View Banner to see a preview of how the Banner will look on the Portal.

  5. Clicking Disable Banner button to instantly remove the Banner from your Electronic Tenant Portal.
