How to View and Manage Tasks



Navigating the Task List

To view or manage PM Tasks, navigate to the Task List page. Using either the tab drop-down menu or the blue horizontal menu bar, select Tasks.

The Task List page provides a list view of all Tasks, including several filtering options to narrow down the list, as needed.

Options

  • Add a PM Job - Select this option to add a new PM Job for an existing piece of Equipment.

  • Add Repair Job - Select this option to add a one time Repair Job for an existing piece of Equipment.

  • Bulk Update - Select this option to manage multiple tasks at once. Bulk Update options include:

    • Assign To: Assign the selected tasks to any of your Designee's.

    • Change Due Date: Change the due date of the selected tasks.

    • Delete Task: Delete the tasks and task history from the application.

    • Update Status: This option allows you to update the status for the selected Tasks, mark the tasks as Deferred, or Flag the tasks for review.

Filters

The Task List page offers multiple Filtering options. The Filters provide an efficient way to narrow down the Task List. The Task List can be filtered by Building(s), Equipment, Date Range, Task Status, Systems, Schedule, Designees, Equipment Type, and Job Type.

Managing Tasks
To view and/or manage a Task, click on either the Due Date or Status within the row of the Task you would like to access. This will direct you to the Task Details page, where you can view the task details, update the status, add comments and record collected data.

Options:

  • Archive Task: This option allows you to Archive this specific task. This will not affect any other tasks associated with this job, it will only Archive this task.

  • Manage Assignments: This option will allow you to change the Task assignment and add or remove existing Designees.

  • Print: This option provides a printable version of the Task Details you see here.

Edit Task

Click on the dropdown menu to update the Status of the Task (Open, In Progress, Completed, Canceled), change the due date in the field provide, add comments, mark the Task as Deferred, Flag, or Archive, as needed. By selecting Deferred or Flag for Review, the Task will then be labeled as such on the Task Details page. Use the filters on the Task List page to view all Deferred or Flagged. When ready, click Update Task to save changes.

Edit Collected Data

To record or update any additional data, click Edit Collected Data. From there, the Designee can update the Status, enter the Task Time, enter any Task Notes as well as enter data in any available Custom Fields. Attachments can be added by clicking Choose File. When finished, select Update Data to save any changes.

Comments/Updates

Any Comments added to the Task will be listed here, with a date/time stamp and the email address of the User who entered the Comments. Comments will also be included on the corresponding Equipment and Job pages as well.
