Service Request Application Preferences

From the tab drop down menu or the blue horizontal menu bar, select Preferences. The first section is Application Preferences. Be sure to select the building on the left prior to making any changes.

Service Request Form Details:

  1. Communication Emails - Notify Assigned Designees by Default: When adding a Communication to a Service Request, Users can check a box to send an email to Assigned Designees. If Yes is selected here, the box will be checked by default.

  2. Communication Emails - Notify Email Only Designees by Default: When adding a Communication to a Service Request, Users can check a box to send an email to Email Only Designees. If Yes is selected here, the box will be checked by default.

  3. Allow Contractor Details: Check yes to allow Tenants to add Contractors Details when submitting a request via the Tenant Center. If no is selected here, only Maintenance Center users will see the Contractor Details section when adding a request.

  4. Service Request Status: Select the status from the dropdown for all newly submitted requests.

  5. Service Request Status for Finalization: Select the default status to finalize a Service Request for time reporting.

  6. Enabled Statuses: Check the box next to each Status that you would like to use within the application.

  7. Request Form Instructions: Instructions entered here will show up at the top of the Maintenance Request Details page within the Tenant Center.

Alarm Preferences:

This section allows you to determine the days of the week and timeframe that email notifications will be sent out for triggered alarms. This setting does not disable any alarms, it only affects when email notifications will be sent. For more information, view the Help Document section on the Alarms Feature.

Tenant Center Service Request Preferences:

  1. Show Status: If yes is checked here, Tenants will see the status of their Service Requests in the Tenant Center.

  2. Show Task Assignments: If yes is checked here, Tenants will be able to see the name of the Designee who is assigned to their requests.

  3. Show Billable Items: If yes is checked here, all billable items will be shown in the Tenant Center. If no is selected, Tenants will only see billable items requiring approval.

  4. Enable Satisfaction Survey: If yes is checked here, Tenants will have the option to rate their satisfaction in the Tenant Center when a service request has been updated to Completed, Closed, Canceled, Denied or Approved. Please Note: To include the Satisfaction Rating on status update emails, go to the Email Template Preferences section, click on an email template from the list (Completed, Closed, Canceled, Denied or Approved) and check the box next to Include Satisfaction Rating on Email.

Billable Details:

  1. Building Account ID - Enter the Building Account ID used for MRI and Yardi software.

  2. Yardi AR Account Code - Enter the Building AR Account Code for Yardi software.

  3. Enable Billable System - Check yes to enable the billable system. Check no to turn off the Billable Items section.
