How to Add and Manage a Recurring Series, Independent Series, and Scheduled Requests

There are 2 types of Request Series you can create:

  • A recurring series is created based on a set frequency, start date, and optional end date.

  • An independent series consists of a list of discrete dates and times.

For example, a recurring series might be used to create a daily request for restroom checks, Monday thru Friday. An independent series might be used if a tenant requests after-hours HVAC for multiple dates and times over the next month.

Setting Up A Series

To set up a recurring or independent series, click "Add Request" from the dropdown menu or blue menu bar. Next, select a building from the list. Begin typing the name of the company or tenant contact in the field provided and choose from the dropdown. Select the Service Type, enter a location, and description.

Scheduling - Indpedendent

The schedule section below will default to the standard form, allowing the user to enter a single date and time. To add additional dates for an independent series, click the green plus button on the right.

Scheduling - Recurring

To create a recurring series based on a set frequency, click the blue “Recurring” button in the top right corner of the schedule box. Enter a start date and time in the fields provided. The end date is not a required field. If the end date is left blank, the system will create 2 years of requests and will automatically renew the series prior to the final scheduled request.

For example, to add a recurring request for weekday trash removal, select weekly from the frequency dropdown menu, enter 1 in the field provided and select the boxes for Monday thru Friday.

After setting the schedule, enter any necessary administrative details or additional information in the following sections or set up manual assignments and notifications.

Assignments & Notifications

Prior to the scheduled dates, requests will have a status of Scheduled and will not be assigned an ID number until the request is active or if any additional action is taken on the request prior to the scheduled date.

On the date of the request, notifications will go out to the assigned and email only designees, according to how the system is programmed in the Service Types section.

If the assigned and email only designees were manually selected when the request was submitted, then the auto-assignments in Service Types will be ignored and the selected designees (from the Scheduling process) will receive a notification at the date and time the request was scheduled.

Managing a Series

To edit the details and/or frequency of a series, click the three dots in the left-hand column of an upcoming request to open the quick edit menu. The service type, location, description or contact can be updated as needed.

To change the start date, edit the frequency, or to add additional dates, select Edit Series Schedule from the quick edit menu. The details and frequency can also be updated by clicking the green recurring request icon from the Service Request details page of any upcoming request in the series.
