SR Help: Manage Existing Reports

To view and manage existing reports, select "Reporting" from the tab drop-down menu or application display boxes.

This will bring you to the "Your Reports & Downloads" section where your list of current reports and downloads will be listed with a "View" and "Options" icon next to each. Click the "View" icon to view and customize the report. For more information please view the "Advanced Reporting (On-Screen Reports) section of this Help Doc. To manage the existing Report, click the "Options" icon to view the drop-down menu of available reporting options, alternatively, if you are already within a Report you can find a similar Options menu in the top right of the Report menu bar.

  1. Edit Report - This option allows you to edit the original report parameters such as the report name, date range, buildings etc.

  2. Delete - Delete the report from the application.

  3. Duplicate - Create a new report which will default to pre-fill with the current report parameters - name, date range, buildings etc. From there you can then adjust as needed and customize the new report.

  4. Share - You can share the report via email. After clicking the "Share" option, you will be prompted to fill in the email details - recipient, subject and message - and select how long you would like the report to be active for.

    Once you have entered this info and clicked "Send", the recipient will receive a link via email that they can then use to access the report for as long as you determined the link to be active for. When the recipient views the report, they will have access to the Summary Set, Data Set and Charts. They can also add, edit or rearrange columns using the Column Wizard, and they will have access to all Grouping options in the Summary Data report and all filters in the Data Set report. They will also have the ability to download the report into Excel.

  5. Download - You can download the Summary Data, Data set and Chart Images. The Summary and Data set you can download into Excel. The Chart images you can download as one PDF file, or you can export them all individually as PNG image files. The Summary and Data set downloads will default to only display the current columns you have enabled on the Summary and Data Set reports, but you can check off the "Include all Columns" option if you would like to download all request data into the download. When the download is ready, a "Download Ready" link will appear in the report menu bar where you can then access the downloads.

  6. Setup Recurring - If this reports needs to be run on a scheduled interval you can set that up here. From the pop up window that appears after selecting this option, check off "Enable Recurring Report". You will then be provided with several report options.

    With this recurring report feature, you can set it up to automatically be emailed to selected recipients. The first option allows you to determine how long you would like the emailed report link to be active for. You can then set the frequency for how often the report should be generated. If you would like to set up the automatic email distribution, click "Yes" next to the Email Notice option. In the "To" field, enter the email recipients.

  7. Archive (Your Reports & Downloads page Only) - The last option allows you to archive current reports as opposed to deleting them. After archiving they are available in the Archived drop down menu at the bottom of the Reports & Downloads page. At any point you can then un-archive, delete or duplicate the report.

  8. Refresh Data (Report view Only) - This option allows you to recreate this report and include any new data that may have been added or updated since you originally ran the report. This will replace the existing report with the new and updated report data. After selecting the Refresh Data option it will bring you back to the "Your Reports and Downloads" page where you can wait for it to update and then again view and manage the report as needed.
